• The LGSR is the legal document — this is the human translation, and a rebooking tool. The formal Landlord Gas Safety Record is what the landlord needs to hold and hand to tenants. But many landlords — especially accidental or small ones — don't fully understand their duties around it. This cover note explains the result, spells out the timings people miss, and — crucially — sets up next year's booking. It turns a one-off check into an annual relationship.
• Hammer the timings, because that's where landlords get caught. Twelve-monthly check, copy to the existing tenant within 28 days, copy to a new tenant before they move in, keep records two years. These are legal duties under the Gas Safety (Installation and Use) Regulations 1998, and a landlord who gets them wrong is exposed to an unlimited fine — and, in England, can be blocked from regaining possession of their property. A landlord who understands this books early and books with you.
• Explain the "two-month rule" — it's a genuine kindness that also wins you the rebooking. A landlord can have the check done up to two months before the anniversary and keep the original due date. Telling them this means they book in good time rather than leaving it to the wire, which is better for their compliance and your diary.
• If you turned an appliance off, make the follow-up crystal clear. Where a check found an unsafe appliance, the landlord needs to know plainly what's wrong, that it's been made safe, and what must happen next — cross-referring to the warning notice from the unsafe situations procedure. Don't leave them guessing about a gas appliance.
• This accompanies the LGSR — it never replaces it. The formal record with its appliance details and results is the legal document, issued through your certification. This is the friendly wrapper. Always issue the proper LGSR.
• The rebooking box is quietly the most valuable line on the page. Annual gas checks are recurring, predictable revenue. A simple "shall we remind you and re-book?" captured at the point of goodwill is worth more than any marketing.
