What you need to know

The plain-English guidance that comes with this document.

  • The job sheet is your memory and your evidence — it isn't the gas record. The statutory records (LGSR, Building Regulations Compliance Certificate) are issued through your own certification. This sheet sits alongside them: a fuller, human record of what you did, what you tested, what you used, and what you advised. When a customer rings weeks later, this is what answers them.
  • Note the record you issued, and its number. Tying each job to its certificate or LGSR reference means you can find it fast, prove the work was certified, and show the notifiable side was handled. A job with no recorded certificate is a gap you don't want in a dispute or an insurance claim.
  • Record the key gas checks — they're what make the job safe and defensible. The tightness test, flue/spillage check and combustion analysis are the heart of safe gas work. Noting that you did them, that the readings were in range, and that your analyser was in calibration links your work to a valid method and a valid instrument. If anything's ever questioned, this is your answer.
  • Capture "left safe" and "advised" every time. If you couldn't finish, or you found something dangerous you weren't asked to fix, record that you made it safe and told the customer — and, for a genuine unsafe situation, that you followed the unsafe situations procedure. "I advised them the flue needed attention and noted it" is worth a great deal later.
  • Get a customer signature where you can. A signed acknowledgement that the work was done and the area left tidy heads off disputes and supports your invoice.
  • It holds customer personal data — treat it accordingly. Keep your job records secure and don't keep them longer than you need for warranty, tax and compliance purposes.
  • Adapt it to how you work. A boiler swap, a landlord check and a bathroom are different jobs — trim or expand the sheet to suit, and keep the completed records together as your job history.
